Department Overview:

The Business Development department supports and guides the company’s strategic planning, influencing short and long-term goal setting and providing information for effective decision-making to company management.  This is done by constantly monitoring, studying and being actively engaged with our clients, the digital marketplace, the healthcare industry and competitors thereby able to identify organic expansion and new market opportunities for Intouch Solutions.    The team develops strong strategic relationships with industry organizations to expand the relationships with our existing and new client base.  Business Development is responsible for developing and maintaining the company’s public and media relations, the company’s image, brand, and product solution offerings. 

Travel Coordinator

The Travel Coordinator is responsible for handling all of the administrative duties required to make travel plans and arrangements for the Executive team, Business Development team and others within the organization involved in business development activities.  This includes planning and scheduling all the logistical details of travel, lodging and transportation arrangements.  The goal of this role is to ensure travel experiences are cost efficient and above all hassle-free.  In addition, the Travel Coordinator will work with the Business Development team on logistics related to proposals/RFP responses and other special projects assigned. 

Responsibilities:

– Establish and implement comprehensive agency-wide travel program and guidelines for business development-related activities

– Research, identify and implement, where appropriate, travel-related cost-savings initiatives































































– Develop and maintain relationships with travel partners (hotel, car rental, etc.) to achieve optimal pricing































































– Set-up and maintain traveler profiles with preferences including frequent flyer and other reward programs































































– Assess traveler needs and provide advice on travel options tailored on individual requirements and preferences































































– Arrange domestic and some international travel including air, hotel, ground transportation and other accommodations as needed































































– Ensure that the travel itinerary and inclusive dates of travel are correct and satisfactory to the traveler































































– Maintain travel logistics and communicate final details for executives, new business pitch team members and conference attendees































































– Assist with cancellations/re-bookings and direct travelers to appropriate resources as needed when issues arise































































– Perform quality control by monitoring traveler satisfaction ratings to ensure only the best value transport options are retained































































– Coordinate payments and credits and maintain records documents and statistical/financial reports  for travel-related expenses































































– Compile receipts and complete expense reports for select executives as necessary































































– Support the Business Development team by coordinating logistics for pitch responses and conferences such as making shipments, purchasing gifts, reserving offsite meeting spaces and meals































































– Manage or assist special projects or other duties as assigned

The Travel Coordinator Role Requires:

– Minimum of 3 years prior travel coordination and administrative experience with working knowledge of domestic business travel standards































































– A Bachelor’s or associates degree and/or related certifications is an added advantage































































– Experienced utilizing CRS (Computerized Reservation Systems) and travel software/sites































































– Proficient skills with MS Office business software (Outlook, Word, Excel and PowerPoint)































































– Proactive self-starter with ability to work independently































































– Excellent verbal and written communication skills































































– High attention to detail and good organizational skills































































– Capacity to prioritize multiple tasks and function in a  fast-paced environment































































– Ability to exhibit exceptional customer service and interpersonal skills in a professional environment
